This Privacy Policy explains how Sun City Systems LLC ("Sun City Systems," "we," "us," or "our") collects, uses, and protects information in connection with this website (suncitysystems.com) and our product Volume Reach, including the Volume Reach web application and mobile applications (together, the "Services").

1. Scope & who we are

Sun City Systems LLC is a software and technology services company and the owner and operator of Volume Reach. This policy applies to information we handle as a business ("controller") — for example, account and website information.

Volume Reach is a tool that businesses use to send and receive text messages with their own customers and contacts. When a business uses Volume Reach to manage its conversations, that business decides what messages to send and who to contact, and we handle the message content on that business's behalf (as a "processor" or service provider). If you are a customer or contact of a business that uses Volume Reach, that business is responsible for its own privacy practices; please contact them with questions about their messaging.

2. Information we collect

Account information

When you create or use an account, we collect information such as your name, email address, and authentication credentials. Passwords are stored only in a securely hashed form — we do not store passwords in plain text. If you sign in with a third-party provider (such as Google), we receive a verified identifier and basic profile details (such as your email) from that provider; we do not receive your provider password.

Conversation content (handled on a business's behalf)

The Services process the text messages, media, phone numbers, and contact details that a business chooses to send, receive, and manage in Volume Reach. We process this content to provide the messaging features the business has asked us to perform.

Device & push information

If you enable notifications in a Volume Reach mobile app, we store a push notification token associated with your account so we can deliver alerts to your device. We may also store basic device information (such as platform and app version) to deliver and support the app.

Usage & diagnostic data

We collect limited technical and diagnostic information — such as log data, error reports, and basic usage events — to operate, secure, and improve the Services. Our website uses only the cookies or local storage necessary for the site and sign-in to function.

3. How we use information

  • To provide, maintain, and improve the Services;
  • To authenticate you and keep your account secure;
  • To send and receive messages and deliver related notifications that you or your business request;
  • To provide customer support and respond to your inquiries;
  • To monitor for, prevent, and address fraud, abuse, security, and reliability issues; and
  • To comply with legal obligations and enforce our Terms of Service.

We do not sell your personal information, and we do not use the contents of business messages for advertising.

4. Push notifications

When the Volume Reach mobile app sends you a push notification (for example, that a new message has arrived), the notification is designed to protect privacy: the message body and contact phone numbers are not included in the notification payload. A notification carries only a minimal identifier that lets the app open the relevant conversation after you securely sign in, at which point the content is loaded directly from our Services. You can turn notifications off at any time in your device settings.

5. How we share information

We share information only as needed to run the Services:

  • Messaging & carrier providers — to transmit SMS/MMS messages to and from mobile carriers.
  • Push notification providers — Apple Push Notification service (APNs) and Google Firebase Cloud Messaging (FCM), used to deliver notifications to your device.
  • Cloud infrastructure & hosting providers — to host and operate the Services securely.
  • Professional and operational service providers — such as error monitoring, acting under agreements that limit their use of information to providing services to us.
  • Legal & safety — when required by law, to respond to lawful requests, or to protect the rights, safety, and security of users, the public, or Sun City Systems.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.

6. Data retention

We retain information for as long as needed to provide the Services and for legitimate business purposes such as security, dispute resolution, and legal compliance. Business message content is retained according to the needs of the business that controls it. When information is no longer needed, we take reasonable steps to delete or de-identify it.

7. Security

We use technical and organizational measures designed to protect information, including encryption of data in transit (HTTPS/TLS). Authentication tokens used by the mobile app are stored in secure, device-only storage, and long-lived credentials held on our servers are stored in hashed form. No method of transmission or storage is perfectly secure, but we work to protect your information and to respond promptly if an issue arises.

8. Messaging compliance & your choices

Volume Reach is intended for lawful business messaging to recipients who have consented to be contacted. Businesses using Volume Reach are required to honor opt-out requests and do-not-contact preferences, and the Services support standard opt-out handling. If you are receiving messages from a business and wish to stop, you can typically reply STOP, or contact that business directly.

9. Your rights & account deletion

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, or to object to or restrict certain processing. To exercise these rights, email info@suncitysystems.com and we will respond consistent with applicable law. We will not discriminate against you for exercising these rights.

Account deletion. You may request deletion of your account and associated personal login information by emailing info@suncitysystems.com from the address on your account, or by using the account-deletion option provided in the app. Because Volume Reach accounts are tied to a business and its records, certain business or transactional data may be retained as required for legal, accounting, or compliance reasons, or may be controlled by the business you belong to. We will explain what can be deleted and what must be retained when you make a request.

10. Children's privacy

The Services are intended for businesses and adults. They are not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can delete it.

11. Where data is processed

Sun City Systems LLC is based in the United States, and information we process may be stored and processed in the United States. If you access the Services from another country, you understand that your information may be transferred to and processed in the United States.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the Services after an update means you accept the revised policy.
